Software for bounce house rental owners

Know the plan before the inflatable leaves the trailer.

A backyard birthday rental includes more than time on the inflatable. There is gate access to check, equipment to prepare, a setup window to agree and a pickup to arrange. Keep those business details with the quote and invoice while you manage equipment availability and safety through your own procedures.

The everyday details

You know the work.
The admin adds up.

The yard description arrives in pieces

The person paying may send the address first and mention steps, a narrow gate or a distant setup area later. Gather access details, the agreed inflatable and the responsible contact before loading, rather than searching a message thread at the curb.

Party time is only part of the schedule

Loading a rolled inflatable, placing mats and a blower, collecting equipment and cleaning it afterward all take work. A calendar entry for the celebration alone leaves out the crew time around it.

An inflatable on the shelf may be unavailable

Equipment can be promised to another event, awaiting inspection or still drying after cleaning. Keep a separate, checked availability record so a physical count does not become a promise you cannot fulfill.

The rental total needs an explanation

An inflatable rental, agreed delivery area, attendant time and an approved extension are different parts of the charge. Describe what is included and discuss changes before the family receives its final invoice.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Give the delivery crew the site context

Keep the billing contact and event site with the client, then add job notes for the access discussion and setup arrangement. Use job tasks for your preparation checklist; Microtra does not certify an inspection or decide whether an inflatable is safe to operate.

Itemize the rental agreement's charges

Build an estimate with saved items for the inflatable rental, delivery and agreed staffing. Use quantities and units that explain the work, such as a rental period or attendant hours, and confirm the scope directly with the client.

Place setup and collection around the event

Add appointments linked to the job and assign the people handling delivery and pickup. Check travel, loading and equipment commitments yourself; the schedule does not reserve a particular inflatable across rental dates.

See the effort behind a rental period

Record time for loading, setup, supervision when agreed, collection and cleaning. Review those hours against the work before changing your quoting method, so preparation does not disappear behind a single rental line.

Finish the paperwork after collection

Review the invoice, share a PDF from your device and record payment taken through your existing method. Enter fuel, cleaning supplies and repair expenses with receipt photos to keep business spending visible after the weekend's deliveries.

A day in the life

From the first quote to paid.

  1. Check the request against the equipment list

Discuss the inflatable, venue surface, access and event window. Check your separate availability and operating records before agreeing to supply it, then save the client and the proposed work.

  2. Agree the scope before loading

Prepare an estimate that separates the rental, delivery and any attendant hours. Record the arrangement for access and pickup in the job notes, including who will be available at the venue.

  3. Work through setup procedures

Use the scheduled visit and preparation tasks to organize the crew. Follow the equipment manufacturer's instructions and your professional safety procedures outside the app; a completed admin task does not establish safe operating conditions.

  4. Return, review and close the job

Check returned equipment through your own inspection process and update the separate availability record. Add the hours and costs, settle any agreed invoice changes with the client and record payment received.

A few useful answers

Questions from bounce house rental owners.

Will the app prevent the same inflatable being promised twice?

Microtra does not provide a rental availability system. Its job schedule helps organize visits and staff, but you must check and maintain equipment reservations separately before accepting an event.

Where do delivery instructions belong?

Keep the venue address with the client's details and the event-specific access instructions in job notes. Include the gate arrangement, setup contact and collection plan so the crew can review the agreed details before setting out.

Does a job checklist replace inflatable inspection records?

No. Job tasks can organize preparation, but Microtra does not assess anchoring, weather conditions, equipment condition or operating safety. Keep required inspection documentation and follow the manufacturer's instructions and qualified professional guidance.

Can a parent reserve an inflatable on a public booking page?

Public online booking is coming soon. Agree the rental directly with the parent or organizer, verify the equipment's availability yourself and enter the job and scheduled visits in Microtra.

How should an inflatable rental business set up Microtra?

Select Other to start with Job and Client. Linked records and stock start off; stock can be enabled in Modules & terms for supply counts, but it does not manage inflatable rental reservations, checkouts or returns.
