Software for dumpster rental operators

Keep the drop, the pickup and the invoice in view.

A container rental starts before the truck reaches the driveway and ends after the load is collected. Microtra helps a small dumpster operator keep the client, placement instructions, rental scope and agreed charges together while the owner plans deliveries and collections.

The everyday details

You know the work.
The admin adds up.

A street address is not a placement instruction

A homeowner may want the container beside a garage while a remodeler needs it close to a working entrance. Confirm the intended position, access and site contact. Record the agreement rather than relying on a driver to interpret an old text.

The pickup date can move

A delayed remodel or an early fill changes the collection conversation. Keep the revised arrangement with the job so the driver and billing person can distinguish an agreed extension from a missed collection. You still decide the truck's running order.

Rental and disposal need separate explanations

Delivery, the agreed rental period, collection and any approved additional charges are different parts of the account. Put the charging basis into the estimate and check the actual documentation before adding weight-related costs to the invoice.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Capture the rental agreement's practical details

Create the client and job with delivery instructions, container description and the site contact in notes. Other uses Job and Client without linked records. Enable linked records in Modules & terms if your business needs that additional structure.

Make the estimate understandable

Use items and quantities to distinguish delivery, rental, pickup and other agreed services. State the basis of extra charges in the notes. Enter your own disposal calculations; Microtra does not read weighbridge tickets or calculate a rental tariff for you.

Plan a delivery and a return

Create job appointments and assign the relevant staff. Keep collection arrangements visible when the client requests a change. Route optimization and GPS tracking are coming soon; the owner plans the sequence and checks the driver's progress separately.

Keep disposal costs with the work

Add expense details and receipt photos for disposal, fuel and other business spending. Link billable costs where appropriate. Review recorded job income and expenses after collection rather than treating the initial rental quote as the final account.

Record the completed transaction

Check the invoice against the agreed rental and documented additions. Share the PDF using your device, and record cash or payments taken elsewhere. Card charging and pay links are coming soon.

A day in the life

From the first quote to paid.

  1. Confirm the site before quoting

Discuss the container needed, intended material, placement and access. Set out what the service includes and what needs separate agreement; determine suitability and any site restrictions through your own operating procedures.

  2. Reserve the drop

Place the delivery appointment on the job and add useful site directions. Confirm the arrangement directly with the client, including how they should request a change to the collection.

  3. Update the collection conversation

If the container needs to stay longer, record what was agreed before moving the appointment. Keep any supporting disposal documentation with your business records and enter approved charges rather than estimating from memory.

  4. Reconcile after pickup

Review delivery, collection and disposal expenses against the invoice. Share the checked PDF, record money received, and use the outstanding balance to guide the next conversation with the client.

A few useful answers

Questions from dumpster rental operators.

Is this a container dispatch system?

Microtra provides general jobs, appointments, client records and billing tools. It does not provide a dedicated container availability board, live fleet map or automatic rental allocation. Keep those operational checks in your own dispatch process.

Can I track disposal charges separately?

You can enter disposal expenses with receipt photos and include agreed billable items on the invoice. Check tickets and calculate any weight-based amounts yourself. A saved expense is a financial record, not an automated scale connection.

Which optional modules need enabling?

Other starts without inventory and linked records. Turn them on in Modules & terms before using those tools. Stock counts should not be treated as a specialist rental reservation system or proof that a container is free for a particular date.

Can a customer arrange a dumpster online?

Public online booking is coming soon. Take the request through your existing channel, check availability yourself and create the job appointments. Confirm placement and collection directly instead of assuming the client has reserved a container through Microtra.
