Software for bookkeeping practice owners

Keep the handoff behind the numbers in view.

A bookkeeping relationship can include monthly reconciliations, a cleanup assignment and questions waiting on the business owner. Keep the business contact, scope notes and billing history together so a call starts with the right context. Microtra supports that business administration; your bookkeeping judgment, client accounting files and secure document-handling procedures remain part of your own practice.

Make room for the real work.

  • New client bookkeeping handoff
  • Bank reconciliation assignment
  • Historical cleanup work
  • Month-end review meeting
  • Chart-of-accounts review

How it works.

  1. Create a contact that reflects the engagement

Add the Client, billing preferences and the person who answers day-to-day questions. Law & professional services setup calls work a Case and the contact a Client; linked records start off. Use a Case to describe the scope of the bookkeeping assignment without claiming the app is the client's accounting ledger or document exchange.

  2. Separate missing information from work in progress

Use Case tasks and notes to record what you need, which review is underway and what has been discussed. A bank statement request, unreconciled difference and owner question are different next actions. Record the administrative context without putting passwords, bank credentials or sensitive account contents into general business notes.

  3. Record effort against the agreed scope

Start a timer or enter time manually for cleanup, reconciliation and review work. Check entries against the engagement before invoicing. Distinguish client billable work from your own practice administration so the invoice description can explain the service delivered rather than becoming a list of unexplained time entries.

  4. Keep billing history ready for the next conversation

Prepare invoices from the agreed work and share PDFs through your device. Review the Client's estimates, payment history, statements and outstanding invoices when discussing the next assignment. Record payment received elsewhere. The client portal and accounting sync are coming soon; this workflow does not depend on either capability being available.

Useful answers.

Does this replace the accounting system I use for clients?

This page covers the administration of your bookkeeping practice: contacts, work notes, time and your own invoices. It does not promise bank feeds, reconciliation tools for client books or automated ledger imports. Keep the client's accounting work in the tools and procedures appropriate to that engagement.

Can I use separate work records for cleanup and ongoing service?

Yes. Describe each assignment as a Case with its own tasks, status and notes. That helps distinguish a historical correction from recurring work. You decide how to organize the engagement and create the next work record; this page does not promise an automatic monthly close workflow.

Can clients send statements through a Microtra portal?

The client portal is coming soon. Arrange document exchange through your existing secure process and record only the administrative context you need. Do not assume a contact record gives the client a public login or a place to upload sensitive financial documents.

Will a time entry automatically become an approved fee?

No. Review the time against the engagement terms and describe the service before invoicing. A time record helps explain effort; it does not replace your agreement about a fixed scope, hourly work or a change requested after a reconciliation uncovered additional cleanup.
