Software for barber shop owners

Build a chair diary that leaves room to finish well.

A skin fade, beard reshape and longer restyle do not take the same chair time. Set up services to match how your shop works, then arrange bookings inside Microtra after agreeing the visit with the client. The diary stays connected with the Appointment, helping the next barber see the service and preferences behind the reserved time.

Make room for the real work.

  • Clipper cut and finish
  • Skin fade with consultation
  • Beard trim and shape
  • Longer restyle
  • Child's cut by arrangement
  • Cut and beard combination
  • Event grooming consultation

How it works.

  1. Describe what each chair slot includes

Create a service with its duration and buffer. Consider the consultation, tools, finishing and clearing needed for that service. Decide whether a beard treatment belongs in the booked service or needs a different arrangement, rather than adding it at the chair and silently squeezing the following client.

  2. Keep preferences beside the person

Find the Client and record useful notes about the agreed cut. Barber & salon setup uses Appointment and Client. Describe preferences clearly enough for another barber to understand, such as the requested taper, length left on top or finish discussed, while managing your own consultation and consent procedures.

  3. Reserve with availability in view

Select the service and assigned staff, review availability and schedule conflicts, then create the booking in the app. Confirm it through the channel you already use with the client. Account for the barber's breaks and other work when deciding what you can promise, including time for a late arrival conversation.

  4. Handle the change before the next cut

Reschedule in Microtra when the client agrees a different time, and recheck nearby bookings. If the requested service changes from a trim to a substantial restyle, review its duration before confirming the change. Use the agreed service details to prepare the invoice and record payment collected through your existing method.

Useful answers.

Can clients reserve their own chair online?

Public online booking is coming soon. The live workflow described here is a booking created inside the business after you and the client agree the visit. Keep walk-in and appointment arrangements clear in your own shop process so a reserved chair is not promised twice.

Can I leave time to clean tools between clients?

Services support durations and buffers. Use them to allow the preparation and clearing time your shop needs. Review what fits around the booking yourself; a buffer helps represent time, while the business still manages its actual cleaning and tool-handling procedures.

How should I handle a cut and beard appointment?

Define the agreed service and reserve time that reflects both pieces of work. Record any specific finish in the Appointment notes. If the client adds beard work after arriving, check the rest of the diary before agreeing a change that affects the next visit.

Will a booking send a reminder or take a deposit?

Server email and SMS reminders, along with card deposits, are coming soon. Confirm arrangements directly and handle any agreed advance payment through your existing provider. Record payment received in Microtra separately from the decision to reserve chair time.
