Software for barber shop owners

Give the next chair visit a clear place in the day.

The next client needs a clear service arrangement before taking the chair. A beard tidy may need different space from a restyle, and reception needs to know which was agreed. Microtra connects that appointment to client records and invoicing while you handle the conversation and the craft.

The everyday details

You know the work.
The admin adds up.

A short description can hide a longer service

A client asking for a haircut may also want a beard service or a full change of style. Discuss what is included before reserving the time so the appointment reflects the actual request.

Walk-ins and arranged visits share the chairs

A free chair does not always mean an empty schedule. Check staff availability and planned work before promising the next slot, then confirm the arrangement directly with the client.

The desk needs the same service record

A finish added during the visit can be missed at checkout. Keep the agreed additions clear so the client hears a familiar explanation when the final invoice is reviewed.

Explain the completed visit

Use saved service items and review the final quantities and prices. Share an invoice PDF through your device, then record payment already received rather than leaving the business record at a verbal total.

See where shop expenses go

Record business purchases such as disinfecting supplies, neck strips and equipment servicing with receipt photos. Review expenses beside income and outstanding invoices when assessing the shop?s work. These records help the owner understand operating costs beyond the service duration, without treating a full row of chairs or a busy walk-in period as evidence that every appointment covered its share of spending.

A day in the life

From the first quote to paid.

  1. Hear the request

Find the client record or add a new contact. Clarify the intended cut, beard work and finish so the service description makes sense to both reception and barber.

  2. Place the visit

Choose a service and staff member, review availability and buffers, and agree the time directly. Keep walk-in promises consistent with the work already arranged.

  3. Update the service

If the client adds work, discuss it before proceeding. Record the agreed addition so the next person handling checkout can explain the invoice.

  4. Finish at the desk

Review the completed service and any package credit use. Share the invoice PDF, record payment received elsewhere and discuss the next visit directly.

A few useful answers

Questions from barber shop owners.

Which setup is intended for a barber shop?

Barber & salon starts with Appointment and Client. Bookings and packages are enabled; linked records and stock start off and can be enabled in Modules & terms if needed.

Can clients reserve their own chair online?

Public online booking is coming soon. Arrange the service directly and create the booking inside Microtra, where you can check staff availability and scheduling conflicts.

What about products sold at the desk?

Enable stock in Modules & terms before using it, because the Barber & salon setup starts with that module off. Then use saved items and locations for supplies you choose to track.

Does the app collect the payment at checkout?

Microtra card charging and Tap to Pay are coming soon. Take payment through the method your shop uses and record the received amount against the invoice.
