Software for balloon decorators

Give every balloon installation a clear brief.

A grab-and-go garland, an entrance arch and an installed backdrop need different preparation. Keep the agreed palette, display dimensions, delivery arrangement and billable work close to the client account. Microtra handles business records while you develop the design and decide how to build it.

The everyday details

You know the work.
The admin adds up.

The reference photo leaves out the scope

An inspiration image rarely tells you the installed length, balloon size mix or whether a frame is included. Write down the shape, colors, finish and placement you agree. Distinguish a loose garland collected by the client from an installation your crew attaches at the venue.

The venue changes the installation

A wall that cannot take attachments, a narrow loading entrance or an outdoor location affects preparation. Confirm permissions, access and the mounting approach through your own venue checks. Keep those instructions with the work rather than relying on the person who took the first call.

Inflation time disappears from the schedule

Sorting colors, inflating balloons, building clusters and loading the vehicle happen before the display is photographed. An event start time alone hides that work. Plan preparation, travel, installation and removal separately so the crew has time to complete the scope you sold.

Reusable pieces must come home

A backdrop stand, weighted base or display frame may remain after guests arrive. Agree which pieces belong to your business, who removes them and when collection is possible. Record the handover so a finished party does not leave an unresolved equipment return.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Write a quote that describes the display

Use estimate items for garlands, columns, specialty balloons, installation and removal. State whether a garland quantity represents installed linear feet or a complete agreed display. Describe any frame use separately, then review quantities and your own prices before sharing the estimate PDF through your device.

Keep the venue instructions with the job

Add the event location, access contact and agreed setup details to job notes and tasks. Choose Other during setup: Microtra uses Job and Client. Keep the mounting decision and venue approval in your professional process; a saved note does not assess whether an attachment is suitable.

Make space for building and striking

Arrange job appointments for installation and removal with the staff doing the work. Add preparation tasks for color sorting, inflation, packing and loading. Confirm the access window directly with the venue before you schedule the crew; a calendar entry cannot confirm the venue's permission for you.

Learn from the hours behind the photos

Start a job timer or enter time manually for preparation and on-site work. Compare the hours spent on clusters, transport and strike when reviewing a completed job. Use that record to inform the next estimate, while keeping any client charge within the scope you agreed.

Account for consumables and the final balance

Enter expenses for balloon bags, ribbon, attachment supplies and other business purchases, with receipt photos. After the installation, review the invoice against approved additions. Record payments received through your existing method and share the invoice PDF from your device.

A day in the life

From the first quote to paid.

  1. Pin down what leaves the workshop

Ask whether the client wants collection, delivery or a complete installation. Agree the palette, approximate dimensions, specialty elements and display location. Turn those choices into a written estimate with clear inclusions rather than pricing from an inspiration image alone.

  2. Resolve the venue questions

Confirm the loading route, setup deadline, attachment restrictions and removal access with the appropriate contact. Add the instructions to the job and arrange the crew's appointments. Decide the construction and outdoor suitability through your own installation planning.

  3. Prepare the balloon build

Use job tasks to check colors, supplies, pump equipment, frames and packing. Record the time spent preparing and loading. Your own design notes and production calculations determine balloon quantities; Microtra does not generate a balloon recipe or visual mockup.

  4. Install the scope the client approved

Review the location and display with the venue contact before work begins. If the client requests another column or a different placement, agree the extra work before adding it to the account. Note what was completed and confirm the reusable pieces left behind.

  5. Collect the frame and close the account

Carry out the agreed removal and check the pieces returned. Reconcile approved additions, supply expenses and payments already received. Send the final invoice PDF through your device and leave a clear record of any balance still due.

A few useful answers

Questions from balloon decorators.

Will Microtra design a balloon arch from a photo?

No. Design previews, balloon recipes, inflation calculations and attachment planning remain in your specialist workflow. Microtra gives the business a place for the agreed description, estimate, tasks, appointments, expenses and invoice.

How do I distinguish grab-and-go from installed decor?

Describe the handover on the estimate. A collected garland can have its dimensions, colors and collection arrangement stated together. For installed decor, add the agreed delivery, attachment, frame use and removal work so the client can see what your service includes.

Can I record a payment received before the party?

You can record a payment received elsewhere against the invoice and review the remaining balance. Agree the payment arrangement directly with the client. Microtra card charging and pay links are coming soon.

Does an installation appointment guarantee my frame is free?

No. Review your equipment commitments separately before promising a frame or backdrop stand. Job appointments organize the crew's work; they are not a specialist rental reservation or return-tracking system. Put the agreed frame collection instructions in the job notes.

Can I keep track of balloon supply quantities?

Other starts with stock off. Enable it in Modules & terms before using counts or wastage for supplies. Define whether an item is a bag or an individual balloon, and check physical quantities yourself; the app does not infer how many balloons a proposed design requires.
