Software for repair shop owners
Know which repair conversation you are picking up.
A call about a brake noise should not start with a search through loose inspection notes. Use Microtra to keep the contact, agreed work and financial history together. This is a practical CRM workflow for a small repair shop: record the concern, follow the Job and find the estimate or invoice when the owner calls again.
Make room for the real work.
- Brake inspection after a noise complaint
- Cooling system leak diagnosis
- Battery and starting fault checks
- Scheduled fluid service
- Suspension repair after inspection
- Follow-up on an agreed repair
How it works.
Start with the payer and the vehicle context
Create the Client contact and note billing preferences. In Trades & construction setup the work is a Job and linked records start as Properties, so put the registration, vehicle description and reported mileage in Job notes. Do not assume this setup opens a dedicated vehicle record or a manufacturer service history.
See the clients featureGive the concern a traceable home
Describe the symptom in the client's words, then add your inspection findings, tasks and work status. Distinguish a reported noise from a confirmed repair need. Notes about authorization, items deferred by the owner and the agreed contact person help another staff member understand where the conversation stopped.
See the jobs featureConnect the estimate to the decision
Prepare an estimate with separate parts, diagnostic labor and repair labor where useful. Share its PDF through your device and discuss the scope directly. Record what was agreed with the work details; this page does not promise automatic authorization requests or a sales pipeline that advances without your review.
See the invoicing featureUse the history when the vehicle returns
Find the Client's estimates, invoices, recorded payments and statements before discussing another concern. Check the specific Job notes instead of assuming an earlier repair covers a different symptom. At collection, update the work status and record payment received elsewhere so your next account conversation starts from a clear balance.

Useful answers.
Is this a specialist shop-management or diagnostic system?
This page describes contact records and connected business documents in Microtra. You maintain the inspection findings, parts descriptions and repair decisions. It does not claim a labor-time catalog, vehicle identification lookup, diagnostic connection or automatic recall information for the vehicles you service.
How can I keep a fleet payer separate from the driver?
Keep the billing contact on the Client record and add the driver or access contact to the relevant Job notes. Review who can agree additional work through your own process. A clear billing preference helps when several vehicles are handled for the same account.
Can the owner see their repair history in a portal?
The client portal is coming soon. Staff can look up the saved business records and share the relevant document PDF from a device. Confirm the intended recipient and explain any inspection findings directly rather than assuming a public account page is available.
Does the CRM send maintenance campaigns?
Automatic service reminders and server email delivery are coming soon. Use the recorded history to support conversations you manage yourself. A previous oil service or brake repair is useful context, but the business remains responsible for deciding when and how to contact the owner.
Keep exploring.
