Software for restoration business owners

Keep the paperwork moving through the dry-out.

An extraction call can turn into equipment checks, material removal and a separate rebuild conversation. Microtra gives the business a place for the agreed work, crew time, costs and invoices while your restoration methods and technical documentation remain with your professional systems.

The everyday details

You know the work.
The admin adds up.

Emergency work creates an unfinished scope

The first visit may cover water extraction and equipment placement, while demolition or repairs need a later agreement. Keep those boundaries clear so an estimate for mitigation is not mistaken for a promise to complete the rebuild.

Equipment stays when the crew leaves

Air movers and dehumidifiers can remain on site between visits. Record the equipment description, agreed billing basis and collection arrangements alongside the work; do not rely on remembering which machine went to which address.

The property contact may not approve the bill

An occupant, property manager and billing contact can have different responsibilities. Confirm who authorizes additions and receives the invoice, especially when a plumber's repair or another contractor's work changes access to the site.

Costs arrive across several visits

Disposal charges, protective supplies, equipment hire and crew hours can be spread over the response. Review them before closing the job rather than trying to reconstruct the work from a stack of supplier receipts.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Separate the stages of the response

Create job details, tasks and notes for extraction, return checks and equipment collection. Update status as the agreed stages finish, leaving any rebuild outside the scope until it is discussed.

Retain the site and decision makers

Use client contacts, multiple sites and linked property records to preserve the address and access context. Note who handles authorization and billing without treating an insurer's involvement as approval of your charges.

Describe the work being billed

Build estimates and invoices with separate extraction labor, equipment use and approved removal items. Enter quantities in the units your agreement uses, share the document PDF from your device and record payments received elsewhere.

Account for return visits

Add crew time manually or use a job timer for attendance and collection. Keep travel and on-site work clear in the time descriptions before reviewing any time-and-materials invoice.

Gather the response costs

Save expenses with receipt photos for rented drying equipment, disposal and replacement supplies. Compare recorded costs with invoiced work when reviewing the business outcome of the response.

A day in the life

From the first quote to paid.

  1. Establish the authorized response

Confirm the property, contact and initial work. Document the commercial scope separately from safety assessments and the technical restoration plan maintained through your professional process.

  2. Record mobilization

Assign the visit, add the agreed tasks and describe equipment placed on site. Capture crew hours and expenses while the details are still easy to check.

  3. Review each change

Arrange return attendance directly with the site contact. If further removal or a different scope is proposed, discuss authorization and revise the estimate before presenting the added charges.

  4. Reconcile collection and billing

Check equipment-use quantities, removal items and time entries against the agreement. Share the invoice PDF and record receipts without confusing an outstanding claim with money received.

A few useful answers

Questions from restoration business owners.

Will Microtra produce moisture maps or drying calculations?

Microtra supports the business administration around restoration. It does not provide moisture mapping, psychrometric calculations, drying verification or specialist restoration estimating databases. Keep technical measurements and professional decisions in the systems suited to that work.

How can I show equipment use on an invoice?

Describe each equipment item, the agreed unit and the quantity being charged. Verify placement and removal records yourself before invoicing; an item description does not create an automatic equipment-use meter.

Does it submit an insurance claim for the property?

No. Share estimates and invoice PDFs through your device with the contact you have agreed. Claim submission, insurer negotiations and settlement decisions remain outside Microtra, and a recorded invoice is not an insurer's acceptance.

What setup fits a restoration crew?

Trades & construction starts with Job, Client and Properties. Scheduling and time entries are enabled. Stock starts off; switch it on in Modules & terms before using inventory for materials you choose to count.
