Keep the appointment plan clear from consultation onward.

Before a follow-up goes into the diary, both you and the client should know what the original service included. Organize the business side of the relationship so the agreed scope, appointment and payment history are easy to find.

The everyday details

You know the work.
The admin adds up.

The consultation and service are different commitments

A first conversation may establish suitability and expectations without reserving treatment. Separate the administrative stages so a consultation does not look like a confirmed service in the diary.

Follow-up terms can be misunderstood

Clients may assume a later visit is included when your estimate describes a different arrangement. Clear service descriptions help settle the conversation before the first appointment is invoiced.

Professional records have a separate purpose

Consent, treatment decisions and procedural documentation need the right professional handling. General client notes and invoice history do not supply a specialist treatment record.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Build a practical service diary

Define consultation and treatment services with different duration and buffers. Create bookings inside the app, review staff availability and conflict checks, then confirm the arrangement directly with the client.

Explain the agreed commercial scope

Prepare an estimate describing the initial service and any included or separately priced follow-up. Record your own terms and prices rather than expecting an appointment name to explain the complete arrangement.

Find the business history quickly

Keep contacts, billing preferences, administrative notes and document history together. Microtra does not provide brow mapping, treatment charting or specialist consent tools; maintain those through the appropriate professional process.

A day in the life

From the first quote to paid.

  1. Begin with the consultation arrangement

Confirm what the client is booking and what remains to be discussed through your professional intake process. Save the administrative contact and choose the corresponding service.

  2. Set out the visit scope

Prepare the estimate with the initial service and follow-up arrangement expressed clearly. Discuss any change before reserving more work than the client has agreed to purchase.

  3. Reserve enough studio time

Review the service duration, staff availability and preparation buffer. Confirm the appointment directly and complete professional documentation in the appropriate separate process.

  4. Close the account accurately

Check the completed service against the invoice, share its PDF and record payment taken elsewhere. Arrange any agreed follow-up manually and save supply receipts for business review.

A few useful answers

Questions from microblading artists.

Does Microtra create brow maps or treatment records?

It does not provide brow mapping, pigment selection or specialist procedure documentation. Use the app for bookings, administrative client context, estimates and invoices while keeping professional treatment systems in place.

Can I give consultations and follow-ups different durations?

Services support their own duration and buffers, staff and availability. Create the bookings within the business and choose the relevant service rather than using one appointment length for every stage.

What labels come with this setup?

Barber & salon supplies Appointment and Client, with bookings and packages on. Stock and linked records start off. Modules & terms is where those optional modules can be enabled if needed.

Can someone book and pay a card deposit online?

Public online booking and card deposits are coming soon. Agree the visit directly, enter its booking yourself and record any payment received through your existing method.
