Software for HVAC contractors
Explain the installation beyond the equipment box.
The unit is only part of an HVAC estimate. Access, removal, connections, controls and the work needed to leave the installation complete all affect the scope. Use Microtra to present the equipment and service items you have professionally assessed, with quantities, prices and assumptions the client can follow.
Make room for the real work.
- Heating equipment replacement
- Cooling equipment replacement
- Thermostat and control upgrade
- Duct modification by agreed scope
- Ventilation installation
- Commercial equipment service proposal
- Repair requiring sourced components
How it works.
Document the assessment behind the proposal
Use the Job notes linked to the Client and Properties record to identify the site, agreed objective and inspection basis. Describe access, occupied-area restrictions and the existing installation relevant to your scope. Equipment selection, load assessment and technical design remain your professional work; the estimating document should not suggest that its arithmetic has validated a system choice.
See the jobs featureSeparate equipment from the work that completes it
Build reusable or project-specific items for equipment, labor, controls, connection materials and agreed removal. Identify the proposed specification clearly enough to distinguish an alternative option. Review quantities and prices using your checked supplier information. Microtra provides estimate items, markups and tax settings, rather than an HVAC design calculation or automatic equipment sizing tool.
See the invoicing featureCheck the supporting costs and site constraints
Include the approach needed for deliveries, lifting access, disposal and preparation where these belong to your service. Keep expected costs and later receipts connected to the work so you can review the business result. If inventory tracking would help with parts and supplies, switch that module on in Modules & terms before using it; it starts off for this setup.
See the expenses featureCarry the agreed scope into billing
Review inclusions, exclusions and unresolved choices directly with the client. When the equipment option or installation work changes, agree the revision through your established approval process and keep the record clear. Prepare progress invoices from estimates where appropriate, checking that each document describes the authorized work and does not silently add a specification the client has not selected.

Useful answers.
Does Microtra size heating or cooling equipment?
No equipment sizing, load calculation or engineering design capability is promised. Complete the technical assessment through your professional process, then enter the proposed equipment and installation items.
How do I quote an equipment alternative?
Describe the option clearly and explain which scope it replaces or changes. Avoid presenting incompatible choices as though they are all included; confirm the client's selected proposal before moving to delivery.
Can I include removal and access work?
Use separate items when those tasks need explanation. State the work included in removing existing equipment, handling access and completing the installation so the client understands more than the equipment price.
What if inspection reveals additional connection work?
Record the condition and discuss the revised scope through your normal approval process. Update the work and documents after agreement so additional work is visible rather than hidden in an unexplained final charge.
Keep exploring.
