Software for garage door service businesses

Keep the service conversation with the door you visited.

A noisy door, a damaged panel and an opener replacement can begin with similar messages but lead to different work. Microtra organizes the client, property, agreed service visit and invoice while your technical assessment determines the repair, equipment and checks needed.

The everyday details

You know the work.
The admin adds up.

The reported symptom does not name the repair

A caller may describe a door that will not close without knowing what has failed. Agree the initial investigation and how further work will be authorized. Avoid writing a fixed repair promise before your inspection establishes the actual scope.

The opening needs a recognizable record

A property can have several doors with different hardware or openers. Use job notes and photos to identify the opening you visited, the work agreed and any unresolved issue. A general street address is not enough context for a return call.

A part order can turn into another visit

An unavailable component or a changed replacement choice can affect timing and cost. Keep the conversation and approved price with the job so the return appointment reflects the work still needed rather than an old service description.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Keep the premises connected to the client

Use linked property records for the site and add door descriptions, access and useful photos to the job. Trades & construction uses Job, Client and Properties. The general record does not provide a specialist door asset or maintenance certification system.

Separate diagnosis from the approved work

Prepare estimates with items for the agreed visit, parts and installation tasks. Enter your own technical findings and quantities. Microtra does not diagnose opener faults, calculate spring requirements or select safe replacement components.

Arrange the return deliberately

Create job appointments and assign staff, checking working hours and availability. Confirm the return directly after resolving the parts and access arrangements. The calendar records your plan; it does not verify that a supplier has delivered the correct component.

Keep parts and hours in view

Record expense details and receipt photos, and add labor with the timer or manual entries. Inventory starts off for Trades & construction; enable it in Modules & terms before using stock counts, supplier lists or purchase orders.

Present an accurate service account

Check completed work and approved additions before sharing the invoice PDF from your device. Record payments received through your existing method and review the remaining balance. Card charging and the client portal are coming soon.

A day in the life

From the first quote to paid.

  1. Clarify the opening and the complaint

Identify the client, property and door involved. Confirm access and the initial visit's scope, including how you will discuss a repair after inspection rather than assuming the caller's description is a diagnosis.

  2. Record the assessment outcome

Use job notes and photos to explain the business scope of the work you propose. Keep technical testing and safety procedures in your professional process, then prepare an estimate for the approved repair.

  3. Coordinate parts and the visit

Check the required components yourself and arrange procurement through your usual supplier process. Set a job appointment once access and the planned work can be confirmed, noting any change the client approves.

  4. Review the completed repair

Compare the invoice with the work performed, recorded hours and costs. Explain remaining work or exclusions directly, share the document and record payment, alongside your separate technical handover and operating instructions.

A few useful answers

Questions from garage door service businesses.

Can the app diagnose a garage door problem?

No. Microtra handles service business records and billing. Inspection, fault finding, component selection and safety checks require your expertise and suitable tools. A recorded symptom or photo does not determine a safe repair method.

Can I keep notes for several doors at a site?

Yes. Link the property to the client and clearly identify the affected opening in each job's notes. Consistent descriptions help with return visits, but the general property record is not a specialist equipment maintenance register.

Will it remind customers when servicing is due?

Automatic service reminders are coming soon. Arrange follow-up directly and create appointments yourself. Keep responsibility for reviewing service arrangements in your business process rather than assuming the software has contacted the owner.

Does an invoice provide an inspection certificate?

No. The invoice describes charges and recorded payments. Use the appropriate technical documentation and professional procedures for inspections, testing and handover. Sharing a PDF account does not certify the condition or safety of the door.
