Software for catering business owners

Hold on to the decisions behind the menu.

An event inquiry can involve a host, venue contact and person paying the bill. The menu may change as guest information and service arrangements settle. Use Microtra to keep the Customer contact and Order context together, making it easier to revisit what was agreed before ordering ingredients, preparing food or discussing a changed event brief.

Make room for the real work.

  • Drop-off lunch order
  • Staffed buffet service
  • Reception appetizer service
  • Dessert table order
  • Corporate meal delivery
  • Menu tasting order
  • Venue service discussion

How it works.

  1. Put the event in the right business record

Bakery & food setup uses Order and Customer. Add the billing contact, event location and a clear Order description. Linked records and scheduling start off for this setup; use notes for event context, and switch scheduling on in Modules & terms if you want to organize appointments in the app.

  2. Write down the choices that affect production

Keep the agreed menu, guest-count basis, service style and delivery arrangements in Order notes and tasks. Distinguish a customer's request from a confirmed change. Manage dietary questions and food safety through your own professional procedures; an administrative note is not a guarantee that a menu is suitable for a guest.

  3. Translate the brief into an estimate

Describe food by the unit you are actually offering, such as a tray, platter or serving, and separate staffed service or equipment where agreed. Review the quantity basis with the customer. Share the estimate PDF through your device and record the resulting scope discussion so a changed menu is not mistaken for the original order.

  4. Check the account before the next event

Review saved estimates, invoices and recorded payments when the customer returns. Prepare the invoice from the completed Order and agreed changes, then record payment received through another method. The client portal and pay links are coming soon. Keep your direct confirmation process in place for event changes and payment arrangements.

Useful answers.

Is this an event proposal or menu-design system?

This page describes customer administration and connected estimates, orders and invoices. You write the menu and service description yourself. It does not promise drag-and-drop menus, automatic event proposals or a guest dietary-management system; keep those decisions and specialist procedures under your own control.

Can I save venue information with an order?

Include the address, access contact, unloading arrangement and agreed service details in the Order notes. Bakery & food starts without linked records, so this workflow does not assume a dedicated venue record is already available. Check access arrangements directly with the venue before delivery.

Can I schedule a tasting with the host?

Scheduling starts off in Bakery & food setup. Switch it on in Modules & terms if you want appointments for tastings or planning discussions. Public online booking is coming soon; agree the appointment directly and keep the event and menu decisions in the relevant Order.

How do I handle a different payer and event contact?

Keep the billing details on the Customer record and identify the event contact in the Order notes. Confirm who can approve changes through your own process. Before sending an invoice, check that the recipient and quantities match the agreement rather than the most recent informal conversation.
