Software for hauling business owners

Know the load before the truck leaves.

A pile beside a driveway tells only part of a hauling job's story. Stairs, loading help, prohibited materials and the receiving location affect what you agree to move. Microtra keeps those business details with the scheduled work and invoice.

The everyday details

You know the work.
The admin adds up.

A photo has no weight ticket

Images help describe a request but cannot establish the load's weight or what is hidden beneath it. Explain the basis of the estimate and how an on-site change will be handled before loading.

The pickup point is not always accessible

A shared loading dock, locked gate or long carry from a basement changes the crew's work. Capture arrival instructions and the person who can authorize access instead of leaving them in a missed call.

A delivery cost appears after the quote

Disposal tickets, trailer rental and extra labor need a place in the business record. An accepted invoice alone does not explain what it cost to complete the run.

How Microtra helps

Keep the business connected.

Use the tools that fit your day, with your records ready on your phone or on the web.

Write the acceptance boundary

Describe the material, pickup point, destination and loading labor in the estimate. Use quantities and units appropriate to your pricing method, entered after your own assessment.

Put access notes with the crew's visit

Create a job with tasks, assigned staff and an appointment. Keep notes about dock access, carry distance and the agreed contact beside the work rather than relying on a driver's memory.

Record the full run's effort

Use a job timer or manual entries for loading, travel and unloading. Review hours against the accepted scope when deciding how to quote similar work.

Retain the cost evidence

Enter fuel, equipment hire and disposal expenses with receipt photos. Record a scale ticket's business cost yourself and compare it with the amount allowed for the job.

A day in the life

From the first quote to paid.

  1. Question the pickup request

Ask what needs moving, where it sits and how the truck can approach. Keep special handling or uncertain material outside the agreed load until you have confirmed it can be accepted.

  2. Arrange people and equipment

Check your schedule and assign the crew. Confirm receiving arrangements directly with the destination and make your own route and vehicle-capacity decisions.

  3. Reconcile the load on arrival

Compare the actual request with the estimate before starting. Agree any additional carrying or material with the client, then update job notes and the price scope.

  4. Bring the receipts back into the business

Add disposal costs and time entries while the run is fresh. Finish the invoice from the agreed work and record the money received through your regular payment channel.

A few useful answers

Questions from hauling business owners.

Will the app dispatch the truck along an optimized route?

Route optimization is not available in Microtra. Choose the route yourself and use the schedule for the visits and staff you arrange.

Can Microtra weigh a load or check its acceptance?

It cannot weigh material, determine vehicle capacity or approve waste for a receiving facility. Confirm those matters with suitable equipment, the facility and your operating procedures before accepting the work.

Should hauling use a specialist linked vehicle record?

The Other setup uses Job and Client with linked records off. Enable linked records in Modules & terms if you need them and choose suitable terms for your business; they do not provide vehicle monitoring.

How do I document a disposal charge?

Enter the expense and attach a receipt photo. Explain any billable disposal line on the client's invoice according to your agreement, keeping your own expense evidence with the job.
